SHIFT: 8:30 am – 5:00 pm EST, 1 hour lunch, 37.5 hours per week

LOCATION: This opportunity is remote **Ideally we are looking for candidates that can work out of our headquarters office in Jericho NY. Depending on the location of the candidate, this position may be remote, or may be domiciled within one of our offices within the United States.

Job Summary:

The Administrative Assistant is responsible for providing administrative support to members of the Purolator International Executive Leadership team in the Corporate Headquarters.

This position plays an integral role on the strategic sales team to drive business and is responsible for assisting the sales and operations to meet internal needs by performing a variety of tasks under general supervision.

Experience Required to Be Considered:

  • At least 3-5 years as an Administrative Assistant
  • Detailed knowledge of MS PowerPoint, Excel, Word & Project
  • Project coordination experience
  • Exceptional written and oral communication and organizational skills

Preferred Experience:

  • Experience in the transportation, freight forwarding or marketing industry a plus

Day to Day Responsibilities:

  • Compile, prepare and maintain weekly, monthly reports and presentations
  • Supporting and coordination project related activities
  • Assisting management with budget related items
  • Provide administrative support to the PI Executive Leadership Team members
  • Organize travel, audit expense reports and meetings
  • Maintain expense tracking systems & assist with members of the Management team and their direct report’s Expense submissions and approvals (i.e. Expense entries, , car allowance, etc).
  • Maintain confidentiality and exhibit a high level of discretion and professionalism
  • Provide back-up assistance to other members of the Administration team as needed
  • Other duties as deemed necessary

Skills & Abilities Required

  • Strong computer and internet research skills
  • Project coordination experience
  • Ability to work well with all levels of management and staff, as well as outside vendors
  • Exceptional written and oral communication and organizational skills
  • Adaptive to changing work environment
  • Ability to management multiple projects simultaneously
  • Strong organizational and time management skills
  • Ability to handle multiple assignments under time constraints and demonstrate strong prioritization skills while ensuring accuracy and timeliness of work
  • The candidate is expected to maintain confidentiality and exhibit a high level of discretion and professionalism.

Education and/ or Work Experience:

  • High school Diploma or equivalent work experience
  • At least 3-5 years as an Administrative Assistant
  • Detailed knowledge of MS PowerPoint, Excel, Word & Project
  • Experience in the transportation, freight forwarding or marketing industry a plus

Working conditions under which the job is performed include, but are not limited to concentrated visual or auditory attention, repetitive movements (i.e. typing, data entry, answering phone), heavy volume of paperwork, extensive sitting during work hours.
